Johnson Controls HVAC Emergency Checklist: Thermostat Dial, Air Filter Direction, and Temporary Heat Safety

If you're reading this because a building is too cold, too warm, or making a noise that sounds expensive, take a breath. Most emergency HVAC calls don't need a hero story. They need a checklist.

I've spent 14 years helping facilities run emergency repair teams, and by now I've worked through more urgent calls than I can count—at least 300 in commercial buildings, industrial plants, and one very stressed data center manager's office. This is the same checklist I walk through before I let anyone pick up a phone. It'll help you solve the easy stuff fast, and when it's not easy, you'll have the details a technician will ask for anyway.

The 7-Step Emergency HVAC Checklist

Use these steps in order. Each one takes about two minutes. If you hit a step that requires a qualified tech, stop and call then—don't take the equipment apart to prove a point.

Step 1: Check the thermostat dial—not just the display

I know it sounds basic. But a huge percentage of 'no heat' calls are actually a thermostat problem, and the display doesn't always tell the truth (especially when the control uses an old dial). On older models, especially a Johnson Controls thermostat dial with a mechanical heat-off-cool switch, the switch can get bumped. So check the actual dial, not the touchscreen.

Here's what I look for:

  • Is the system set to 'heat' or 'cool,' and is the setpoint a few degrees away from the room temp?
  • Is the fan set to 'auto' (not 'on') unless you're circulating air intentionally?
  • Does the display show 'emergency heat' when it shouldn't?

Honestly, I'm not sure why a manual thermostat dial causes so many false alarms. My best guess is that cleaning crews bump the switch while wiping the wall. It happens more than you'd think.

Step 2: Check the air filter and know which way to put it in

Which way to put air filter in furnace? The arrow on the filter points toward the furnace or the blower—not away from it. That's the rule. The filter media is designed to catch particles before they hit the heat exchanger or coil, and if you install it backward, the filter can collapse, restrict airflow, and in some cases push a thin fiberglass filter out of its track.

A backward filter is also a classic cause of a short-cycling furnace or a frozen coil. In January 2024, I was called to a warehouse that had been without heat for 36 hours. The emergency tech found the filter installed backward, the limit switch tripped, and no actual mechanical failure. That was a $0 repair and a $900 emergency call that didn't need to happen.

If you're not sure what direction your filter should face, look for the cardboard frame. The arrow printed on the frame is the direction of airflow. When in doubt, ask your HVAC contractor to mark the direction with a marker on the filter rack. Takes thirty seconds and saves a lot of grief.

Step 3: Look for a tripped breaker or condensate safety switch

Modern commercial units have safety devices that can make a system look totally dead. A condensate float switch is a common cause: if the drain pan fills up, the switch kills the unit to prevent water damage. It's not broken—it's doing its job.

So before you call, check the electrical panel for a tripped breaker, and check the HVAC condensation pump and drain line. If the float is stuck, gently free it. If there's standing water in the pan, clear the drain. We once ignored a noisy condensate pump because it still worked. It failed at 2 a.m. on a holiday weekend. In my role coordinating emergency service for commercial buildings, I've seen a $10 clogged drain cause a $4,000 water loss.

Step 4: Use temporary heat safely—buddy heater vs patio heater

If the main system is down and people are cold, you might be tempted to grab whatever heat source is nearby. Stop.

A buddy heater is a propane infrared heater designed for occasional indoor use, but only if you follow the manufacturer's clearance and ventilation rules, and only with working carbon monoxide alarms. A patio heater is not designed for indoor use. Ever. I know it's cold on a loading dock, but a patio heater in an enclosed space is how carbon monoxide turns a bad day into a tragedy (surprise, surprise—I've seen it almost happen). Under NFPA 54, the National Fuel Gas Code, any fuel-burning appliance has to have adequate combustion air and ventilation. A temporary heater is not exempt from that rule.

If you're using a buddy heater as a temporary workaround, put it on a stable surface, keep it away from paper, cardboard, and fuel, crack a window or door, and monitor CO levels. Better yet, bring in a portable electric heater if the electrical system can handle it. Temporary heat should be boring and safe, not exciting.

Step 5: Check the outdoor unit and combustion air

When it's cold, snow can block a furnace combustion air intake and cause the unit to lock out. When it's hot, leaves and debris can cover a condenser coil and send high-pressure alarms. In both cases, the fix is simple: clear the obstruction.

In February 2024, three clients called for emergency service on the same morning. All three had the same issue: snow had drifted over the vent terminals. No mechanical failure, no refrigerant leak, just 10 minutes with a shovel.

Step 6: Know your liquid cooling basics (especially for data centers)

If your building has a data center, lab, or process load that depends on liquid cooling, the emergency checklist takes on another layer. Johnson Controls liquid cooling systems are designed to reject heat through a coolant loop, a CDU, and a dry cooler or fluid cooler. When a rack temperature climbs fast, the last thing you should do is start turning thermostats down. You need to verify flow first.

Here's what I'd check before calling anyone:

  • What's the coolant pressure? A sudden drop means a leak, and no amount of setpoint changes will fix that.
  • Is the CDU pump running? Listen for cavitation. If it sounds like gravel in a blender, shut it down before it destroys the pump.
  • Do you have a high-temperature alarm on the coolant return? That tells you the heat load is exceeding the rejection capacity. ASHRAE TC 9.9 publishes recommended environmental envelopes for data centers; if your coolant return is trending outside that envelope, you're past design margins.

So glad I made our team add pressure checks after a liquid cooling shutdown in 2023 (almost skipped it). It turned out a small fitting had developed a pinhole leak. Catching it early saved a whole rack of IT gear—and a very uncomfortable conversation with the data center owner.

Step 7: Call the right technician—and give them useful information

By the time you finish steps 1 through 6, you either fixed it or you know a lot more than 'it's broken.' Based on our internal data from 300+ emergency calls, roughly 35% of them were resolved by steps 1-3. When you call for service, say this:

  • What kind of unit it is (make, model, serial number if reachable)
  • What error codes are displayed, if any
  • What you've checked (thermostat dial, filter direction, breakers, outdoor unit)
  • When it last worked normally

This is where the 'we do everything' problem shows up. A good contractor will tell you if it's not their specialty. The vendor who says, 'This isn't our strength—here's who does it better,' earns my trust for everything else. I'd rather work with a specialist who knows their limits than a generalist who overpromises.

Common Mistakes to Avoid in an HVAC Emergency

These are the errors I see repeated on emergency calls:

  • Turning off the main power for a 'reset' and wiping out fault codes. Restarting a unit is fine, but you lose the data a technician might need.
  • Raising the thermostat dial to 95 to force heat. It doesn't make the space warm up faster. It just runs the heat continuously and can trip the limit switch.
  • Ignoring the air filter direction. The arrow points toward the furnace, not the return duct.
  • Using a patio heater indoors because it was 'the only thing available.' There's no emergency that justifies that risk.
  • Calling a general handyman service for a commercial refrigeration or liquid cooling problem. Specialists matter when the cost of being wrong is high.

Emergency HVAC work isn't glamorous. It's a lot of filters, breakers, snow shovels, and one phone call to a specialist who knows what they don't know. If you run through this checklist, you'll be in the top 10% of callers, and the technician who shows up will thank you—because you'll have already saved them an hour of guessing.

And if the problem turns out to be something bigger, don't take it personally. Call the right specialist, verify current codes, and keep the checklist for next time. As of January 2025, this list has saved my team a ridiculous number of after-hours visits. It'll save you a few too.
