We were using the same words but meaning different things. Discovered this when the first unit tripped on high pressure. I said 'they're maintained.' They said 'you didn't ask for coil cleaning.'
Before you call anyone, write down every unit. Include the model, the HVAC controls, and any history you have. If you own York chillers, say 'York chillers' and not 'the big cooling units.' For York chillers, ask for refrigerant quantities, leak test scope, and a delivery timeline for parts. For rooftop units, ask for fan speed verification and condensate pan treatment. If they can't give you those details, they haven't actually scoped the work.
3. Thermostat Installation: Check the C-Wire First
Search 'how to install a thermostat' and you'll get 100 guides about wire labels and mounting plates. That's useful, but it misses the issue I keep coming back to: power.
An ecobee thermostat or any smart thermostat needs continuous power. In older commercial systems, there wasn't always a C-wire running to the thermostat. The 'blue wire is C-wire' thinking comes from an era when wiring was less standardized. That's changed, but not in every building.
During a summer 2023 install, I watched a tech assume the blue wire was C-wire. It wasn't. The thermostat powered up, but the heat stayed on because the power was borrowed through the heating circuit. We had to call the manufacturer and rewire it after hours. Never expected the wire label to be wrong—turns out the previous contractor had used the blue wire as a common wire without labeling the other end.
So, before any install: locate the thermostat wire, test for 24V AC at the wall, and confirm the air handler can supply enough current. This takes 10 minutes and prevents a callback. If you're putting in an ecobee thermostat, check the compatibility checker on their site before you order. The $30 extra for the Power Extender Kit is a lot cheaper than a $200 service call.

In 2023, I saw a quote with a '$350 equipment rental' line for a portable air compressor. The tech had a new DeWalt air compressor in the truck. That's a tool. Tools are the contractor's overhead, not your line item. If they need a compressor for a rooftop unit's pneumatic controls or to blow out a drain line, it's cost of doing business.
Also look for the 'free installation' trade-off. A smart thermostat listed at $99 becomes a $400 invoice when the installer adds $125 for a C-wire hookup, $75 for 'safety disconnect,' and $60 for 'wire nuts and misc.' I've seen that exact pattern. (Which, honestly, felt excessive.)
The fix is simple: ask for a line-item breakdown before the job. If they won't provide one, that's a red flag.
5. Define What 'Done' Looks Like
Preventive maintenance is not a visit. It's a checklist with measurable results. If you're paying for rooftop unit service, the report should include supply air temperature, refrigerant pressures, compressor amperage, and a photo of the condition. For a chiller, look for approach temperatures, delta-T, oil pressure, and refrigerant sight-glass readings.
In Q3 2024, we switched vendors after 6 years with the same one. The new vendor found one York chiller running with a fouled condenser and a 15% efficiency loss.
